Overview
ExpertDocs (“we”, “us”, “the app”) is a document vault: you add scans, photos and PDFs of important documents, organize them in folders and keep track of their expiry dates. This policy explains what information the app handles, why, where it is stored and what choices you have.
Who is responsible for your data

We do not collect your location, contacts, advertising identifier or browsing activity, and the app does not use advertising or third-party analytics tools.
Encryption
Encryption is optional. When it is on, your files and document titles are encrypted on your device with AES-256-GCM, using a key derived from a passphrase that only you know, before they are uploaded. The passphrase and the key are never sent to us. On iPhone and Android the key is kept in the device’s secure storage (Keychain / Keystore) so you don’t have to type it every time; in the web version it is kept only in memory.
When encryption is off, your files and titles are stored on our servers without end-to-end encryption, although they are still private to your account and protected in transit.
Even with encryption on, some details stay readable by the service so the app can work: the category of each document, its dates, whether it is a favorite and your folder names.
Permissions on your device
- Camera — to scan documents. Photos are used only when you choose to save them.
- Photo library — to import images you select, and to save images when you ask.
- Face ID / biometrics — if you turn on the app lock. Authentication is performed by your device’s operating system; ExpertDocs never receives or stores your biometric data.
How we use information
- to provide, maintain and secure the app;
- to store and sync your documents and settings;
- to respond to your requests and support questions;
- to comply with legal obligations.
We do not sell your personal data and we do not use it for advertising or profiling.
Service providers and where data is stored
We use Google Firebase (Authentication, Cloud Firestore and Cloud Storage), provided by Google, to host accounts and data. Google processes data on our behalf under its data processing terms. Data may be stored and processed in Google data centers in the European Union, the United States or other countries where Google operates. Where data is transferred outside the European Economic Area, this is done on the basis of appropriate safeguards such as Standard Contractual Clauses.
We do not share your information with anyone else, except when required by law or to protect rights, safety and security.
How long we keep it
We keep your data for as long as your account exists. You can delete individual documents at any time. If you delete your account, your documents, folders, settings and account are permanently removed from our servers. Decrypted copies kept temporarily on your device are cleared when you sign out or delete your account.
Your choices and rights
- Access and portability — use “Export All Documents” in Settings to download everything as a ZIP file.
- Correction — edit a document’s title, category and dates inside the app.
- Deletion — delete documents, or your whole account, from Settings (Account → Delete account).
- Encryption — turn encryption on or off in Settings.
If you are in the European Economic Area or the United Kingdom you also have the right to object to or restrict certain processing and to lodge a complaint with your local data protection authority. To exercise any right, contact us by email at contact@expert-money.com.
Security
Data is protected in transit with TLS, access rules ensure each account can reach only its own data, and optional end-to-end encryption protects the content of your files. No system is perfectly secure, so we encourage you to use a strong password and passphrase and to enable the Face ID lock.
Children
ExpertDocs is not directed to children under 16, and we do not knowingly collect their personal data. If you believe a child has created an account, contact us and we will delete it.
Changes to this policy
We may update this policy from time to time. When we make material changes we will update the date at the top and, where appropriate, notify you in the app.
